Research shows that including visual elements in written patient education materials can increase patient understanding. This is particularly true for patients with low health literacy. For this reason, many Nova Scotia Health patient education pamphlets include icons, diagrams, and photographs. These visual elements:

  • Add valuable visual information that complements the written text
  • Can increase a reader’s understanding and recall of clinician guidance

The Patient Education Pamphlets team has a small collection of anatomical diagrams and icons available to include in patient education pamphlets. If you need a diagram of a particular body part or system, the team may be able to help you find something suitable. If you would like to add a specific visual element to your pamphlet:

  1. It must add to the reader’s understanding of the content. Additions merely for aesthetics or design will be excluded.
    Remember: Adding icons, diagrams, and photographs increases a pamphlet’s page length and printing costs (particularly if the pamphlet is printed in colour).
  1. It must be representative and respectful of Canada’s diverse populations.
  2. It must follow applicable Canadian copyright law. Find more information about this by visiting the Using Images and Permissions pages of the Copyright subject guide.

Did you know? Nova Scotia Health team members must pay to use stock images from websites like Getty Images, iStock, and Shutterstock. Be cautious when assuming something is “free” to use. In honour of health literacy month last October, we shared some of the ways low health literacy can impact patient outcomes and our health system. To add to this information, we've compiled a list of communication strategies to help health care staff and providers build health literacy into their daily routines. These strategies aim to:

  • Accommodate different levels of health literacy
  • Enhance Nova Scotia Health’s overall health literacy across the organization

Universal Precautions Approach

The universal precautions approach, which assumes that everyone may have difficulty understanding (Seidel, Cortes & Chong, 2021), is an easy way to accommodate differing levels of health literacy in our interactions with the public. Since you can’t gauge someone’s understanding just by looking at them or speaking briefly with them, focus instead on communicating with everyone clearly. This can increase their understanding and engagement.

The language used in the health field is not commonly used in everyday conversations. Even those with higher levels of education may not understand what their diagnosis means. Remember, everyone benefits from clear communication (Glick, Brach, Yin & Dreyer, 2019). It is best to use simple, clear language to avoid any opportunity for misunderstanding, both at the point-of-care and in all written communication.

Strategies for communicating clearly

At the point-of care, remember to:

  • Ask about language preference.
  • Speak slowly and pace the conversation.
  • Explain uncommon medical terms the patient will likely hear often.
  • Check understanding using the teach-back method.
  • Provide clear, specific discharge and follow-up instructions.
  • Support with plain language written materials that are consistent with what was discussed in person.

When sharing written information, including appointment letters, discharge summaries, or patient education materials, make sure your content follows these guidelines:

  • Use plain language (around a grade 6 reading level)
  • Avoid medical jargon
  • Write out acronyms
  • Consider readability and layout
  • Use lists and short sentences instead of dense paragraphs
  • Have a colleague and a Patient and Family Advisor review it
  • Translate, if possible

Every year, the Patient Education Team identifies patient pamphlets that have not been reviewed or updated within 5 years of the last review date. We then contact content creators to confirm whether these pamphlets need to be updated or removed from circulation.

This year, any pamphlets published in 2018 or before must be reviewed and updated or they will be removed from circulation on April 1, 2024. The full list of items that must be reviewed and updated before April 1, 2024 can be found in the Patient Pamphlets to Archive 2024 spreadsheet.

As you know, changes to drug names, clinic or department contact information, and clinical practice are common. Patient pamphlets must be reviewed by the teams that created them, and/or the teams that use them, to ensure that such changes are reflected in the materials we provide to patients and their families.

Library Services' Patient Education Team is available to support Nova Scotia Health staff in updating any existing pamphlets. Pamphlets published in 2018 or before that have not been reviewed and updated by April 1, 2024 will be archived and removed from the patient education resources collection

What do you need to do?

  • Check the list of titles that are due for review.
  • Complete the Archiving Project form to let us know you intend to update a pamphlet before the April 1, 2024 deadline.
  • Complete the Archiving Project form to recommend a pamphlet for archiving.
  • Share this information with your colleagues who are involved in patient education pamphlets in your area, department, unit, or clinic.

We can send you the latest version of the pamphlet as a Word document, so you can edit it easily. We facilitate the review and update process for you, including:

  • Integrating your team’s edits and feedback
  • Reviewing for plain language and readability
  • Coordinating adaptation and reprint copyright permission requests
  • Ensuring improved accessibility and consistent messaging in line with other Nova Scotia Health materials
  • Updating layout and branding

Understanding health literacy helps health care providers support a health care system in which all Nova Scotians can understand health information and play an active role in their own health.

What is health literacy?

How we define and understand health literacy has evolved over the past several decades. Most recently, researchers and policy makers have divided health literacy into two parts: personal health literacy and organizational health literacy.

Personal health literacy is the degree to which individuals have the ability to find, understand, and use information and services to inform their own health-related decisions and actions.1

Organizational health literacy is the degree to which organizations equitably (and fairly) connect with and enable individuals to find, understand, and use information and services to inform individual health-related decisions and actions.1

When health information and our health care systems are difficult to understand:

  • Fewer people understand or follow their health care provider’s instructions and guidance 2
  • Fewer people use preventative services 3
  • Fewer people get vaccinated 4, 5
  • More people make mistakes taking (or not taking) their medications 6
  • More people go to the Emergency Department 7
  • More people are admitted or re-admitted to the hospital 7

Poor health literacy puts patients at risk and increases wait times and costs for our health care system.

All members of the health care team play a role in health literacy:

  • Administrative staff are often a patient’s first point of contact, providing patients with key pieces of information to make sure they receive the care they need, such as:
    • appointment information (like where to go, when, and what to bring) using clear and familiar language
    • explaining what will happen next
  • If forms are not filled out correctly or patients are lost or confused about where they need to go, appointments may be cancelled or delayed. Missed appointments are often a sign of low health literacy. 8
  • Key parts of patient-centered care are avoiding jargon and explaining acronyms or medical terms that patients and support persons will hear throughout their care. Clear and familiar language enable patients to fully participate in the care we provide.

This October, become a health literacy ambassador and tell your colleagues just how important it is to use clear communication! Remember to:

- Speak clearly
- Give direct instructions
- Provide plain language materials (like Nova Scotia Health patient education pamphlets) to support your message

In the fall of 2021, the Patient Education Team invited staff and physicians to participate in a short online survey, as part of a service quality improvement initiative. With the approval of the Central Zone Quality Improvement and Safety Council, the survey was released on November 1, 2021, and ran until we received submissions from a minimum number of participants (20) in each zone.

Here are the top 5 misconceptions staff have about Nova Scotia Health Patient Pamphlets and the Pamphlets service:

  1. You can search for pamphlets on the Intranet.

FALSE Nova Scotia Health’s patient pamphlets collection is not available on the Intranet.

Staff and patients can find pamphlets on 3 public-facing websites:

The Patient Education Team does not post pamphlets on the Intranet and recommends that you don’t either. Why? We can’t manage items (version control) posted on the Intranet (including SharePoint sites) by individual teams. This means that when a pamphlet is removed from the collection or the title changes, the pamphlet posted on the Intranet will become out of date.

Teams should become familiar with searching the 3 resources listed above to find patient pamphlets. We’ve created these handy instructions to help you get started.

  1. No one ever updates their pamphlets.

To keep items up to date, as per policy AD-LIB-100, the Patient Education Team sends reminder emails to pamphlet creators/owners once an item is 3 years old.

If the item still has not been updated in 5 years, we send another reminder, giving creators/owners 3 months to initiate a review. If the item is still not updated after 3 months, the item is removed from circulation (archived), creating a gap in patient education. Once the creator/owner has reviewed the content and updated the item, the pamphlet can be brought back into circulation.

FALSE Working with French Language Services and Nova Scotia Health Interpretation and Language Services, the Patient Education Team supports the translation of pamphlets into French, Arabic, and Simplified Chinese. Currently in the collection, there are:

  • French: 235 titles
  • Arabic: 19 titles
  • Simplified Chinese: 6 titles

To find all available translated titles, search the collection using the Library Services website or the pamphlets listing page and limit your search by ‘Language'.

FALSE We rely on the clinical expertise of creators/owners to author patient pamphlets. Staff and physicians develop pamphlets for whatever topic they identify a need. Do you have a topic in mind, but can’t find anything in the collection? Email Pamphlets@nshealth.ca to find out if something already exists in our active or archived collections.

If nothing exists, you can work with your team to draft a pamphlet. For more information about the process, check out the library's Content Creator Toolkit and our tips on creating a pamphlet.

  1. Most pamphlets apply only to Central Zone or Halifax area, Eastern Shore and West Hants.

FALSE Nova Scotia Health Policy AD-LIB-100 and the Patient and Family Education Material Guidelines (2021) both stipulate that all pamphlets should be developed for provincial use when and where possible.

Prior to the amalgamation of the regional health authorities in Nova Scotia, the Pamphlets service was a Capital Health (now known as Central Zone) service. As such, many of the pamphlets in the current collection originated in Central Zone. Since the amalgamation, all pamphlets applicable for a provincial audience are published as such.

As pamphlets are updated, our goal is to create items that are applicable for provincial use, unless the content of the pamphlet contains site-specific information, or the creator/owner clearly identifies the pamphlet only for a specific site or zone’s use.

Every year, the Patient Education Team identifies patient pamphlets that have not been reviewed or updated within 5 years of the last review date. We then contact content creators to confirm whether these pamphlets need to be updated or removed from circulation.

This year, any pamphlets published in 2017 or before must be reviewed and updated or they will be removed from circulation on February 1, 2023.

As you know, changes to drug names, clinic or department contact information, and clinical practice are common. Patient pamphlets must be reviewed by the teams that created them, and/or the teams that use them, to ensure that such changes are reflected in the materials we provide to patients and their families.

Library Services' Patient Education Team is available to support Nova Scotia Health staff in updating any pamphlets published in 2017 or before. The pamphlets that have not been reviewed and updated by January 31, 2023 will be archived and removed from the publicly available catalogue and pamphlets listing.

What do you need to do?

  • Check the list of titles that are due for review.
  • Complete the Archiving Project 2022-23 form to let us know you intend to update a pamphlet before the January 31, 2023 deadline.
  • Complete the Archiving Project 2022-23 form to recommend a pamphlet for archiving.
  • Share this information with your colleagues who are involved in patient education pamphlets in your area, department, unit, or clinic.

We can send you the latest version of the pamphlet as a Word document, so you can edit it easily. We facilitate the review and update process for you, including:

  • Integrating your team’s edits and feedback
  • Reviewing for plain language and readability
  • Coordinating adaptation and reprint copyright permission requests
  • Ensuring consistent messaging in line with other Nova Scotia Health materials
  • Updating layout and branding
